This policy explains how Florence Luxury Car Rental handles the personal data of people who visit florenceluxurycarrental.com, send an enquiry, or book a car or chauffeur-driven service with us. It applies to enquiry forms, email, phone, WhatsApp and the website itself, and is written under the EU General Data Protection Regulation and the Italian Privacy Code (Legislative Decree 196/2003).
If you have questions about anything below, write to [email protected].

1. Controller
Florence Luxury Car Rental operates florenceluxurycarrental.com and decides how and why personal data submitted through it is used. For any question about this policy, a booking, or an enquiry you sent us, write to [email protected].
2. Data we gather and where it comes from
We receive personal data directly from you, and we generate a small amount automatically when you use the site.
- Enquiry form: name, email, phone number if you choose to add it, the car you are interested in if you selected one, pick-up and drop-off dates, a flight number if you used the airport delivery form, your message, and technically the page you filled the form on and the page that referred you to it.
- Direct contact: anything you tell us by email, phone or WhatsApp when arranging or discussing a rental.
- WhatsApp click records: when you tap a WhatsApp button on the site, we log the page URL, the referring page, the site language and the prefilled message text before WhatsApp opens.
- Server logs: the hosting provider's server automatically records the visitor's IP address, the time of the request, the page requested and the browser used, for a short period.
3. Why we use it, and on what basis
We use your data for the following reasons, each tied to a legal basis under the GDPR.
- To answer your enquiry and prepare a written quote: this is a pre-contractual step taken at your request.
- To confirm and manage a booking once agreed in writing, including arranging the car or chauffeur service you asked for: this is necessary to perform the contract with you.
- To issue invoices and keep accounting records: this is a legal obligation.
- To keep the website, our booking system and vehicle handovers secure, and to prevent misuse of our forms: this is our legitimate interest, balanced against your right to privacy.
We do not use personal data for automated decision-making, and we do not sell it. We only send marketing messages if you specifically ask us to.
4. Driving licence and ID at handover
Once a rental is confirmed, we need to see a valid driving licence and identity document at handover. This lets us verify that the driver named on the booking is entitled to take the car, and it is required for the rental agreement and insurance cover on the vehicle. Handover normally happens at Peretola, at Pisa arrivals, or at a Lungarno-area hotel rather than in the historic centre, which keeps the process away from camera-enforced restricted zones; the same identity check applies wherever the handover takes place. These documents are checked at the point of handover and kept only as part of the booking record described under retention below.
5. Who receives your data
Access to your data is limited to people and services that need it to deliver the booking or run the site.
- Our own team, who read and reply to enquiries through an internal messaging tool linked to our booking system.
- The driver or captain who carries out a chauffeur-driven booking, who receives the trip and contact details needed to perform the service.
- Our hosting provider, which stores the website and server logs.
- Google, through Google Fonts, which receives the visitor's IP address when a page loads the font files.
- jsDelivr, the content delivery network that serves the intl-tel-input library used by the phone field in our forms.
None of these third parties sets cookies on our behalf, and we do not pass your data to anyone for their own marketing purposes.
6. WhatsApp conversations
If you start a conversation with us on WhatsApp, that conversation is carried on WhatsApp's own platform and is subject to WhatsApp's and Meta's privacy policy, not this one. We only keep the click record described above in our own booking system; we do not control how WhatsApp stores the messages themselves.
7. Data sent outside Italy
Google Fonts and jsDelivr are loaded from servers that may be located outside Italy, and WhatsApp conversations run on Meta's infrastructure. Beyond these two services and WhatsApp, we do not transfer personal data abroad, and we do not use any analytics, advertising or social-media tracking tools on the site.
8. How long we keep your data
Enquiries that do not turn into a confirmed booking are deleted after 36 months. Once a booking is confirmed, the related records, including the handover documents mentioned above, are kept for as long as tax and accounting rules in Italy require. Server logs are kept for a short period for security purposes and then removed.
9. Keeping your data secure
We limit access to enquiry and booking data to the people who need it to answer you or deliver the service, and we rely on our hosting provider's infrastructure to keep the static website available and the server logs protected. The footer links to our profiles on Google, Tripadvisor and Trustpilot; nothing from those platforms loads on your device until you actually click one of those links.
10. Your rights and how to use them
Under the GDPR you can ask us to:
- give you access to the personal data we hold about you;
- correct it if it is inaccurate;
- delete it, where we are not required to keep it for legal or contractual reasons;
- restrict or object to certain uses of it;
- receive a copy of it in a portable format.
Send your request to [email protected]. We reply within one month, and we may ask you to confirm your identity before acting on the request. If you believe we have not handled your data correctly, you can lodge a complaint with the Garante per la protezione dei dati personali at www.garanteprivacy.it.
11. Children, browser storage, and updates to this policy
Our services are aimed at adults who can enter into a rental agreement, and we do not knowingly collect data from children.
The site stores two small items in your browser: one records that you closed the cookie notice, and one temporarily remembers which car you clicked so the enquiry form can be prefilled; the second is deleted when you close the tab or send the form. Neither contains contact details, and the site itself sets no tracking cookies.
We may update this policy as our services or the rules around them change. The version published on this page is the one that applies, and we encourage you to check it before sending us personal data.
